How do I allocate credits to my employees?

When enrolling employees into your company's Mednefits account, you will be asked to enter the amount you wish to allocate to your employees’ medical and wellness E-wallets.

If you would like to adjust employees’ wallet allocation after you have enrolled them, follow the instructions below:

Adjusting wallet allocation for a single employee

  1. Log into your company's Mednefits Business Portal.
  2. Click on the Employee tab.
  3. Search for the employee whose credits you want to adjust using the search bar, and click on the employee's name.
  4. Click on the Allocation tab.
  5. Enter the amount that you would like to allocate to this employee's medical and/or wellness wallet.
    • Note: This revises your employee's wallet allocation, not their wallet balance.
    • Example: John was allocated $500 at the start of the year.
      • By the end of June, he had spent $200, leaving a wallet balance of $300.
      • In July, the company decided to allocate another $100 to John.
      • The amount to enter here is therefore $600 ($500 + $100).
      • John's wallet balance after the update will be $400 ($600 allocated minus $200 spent).
  6. Select the Effective Date of the new allocation: this is when the employee will see the updated amount reflected in their wallet.
    • If the effective date is today or in the past, the new allocation will be effective immediately.
    • If the effective date is in the future, the employee's wallet allocation will only be updated on the selected date.
      • Example: Jenny was allocated $200 on 1 Jan.
        • By the end of April, she had spent $200, leaving a wallet balance of $0.
        • Jenny received a promotion and a new job contract, effective 1 July.
        • As part of her promotion, Jenny's wallet allocation is updated to $300, effective 1 July.
        • If Jenny goes to see the doctor on 15 June, her wallet balance will still be $0.
        • If Jenny goes to see the doctor on 1 July, her wallet balance will be $100.
  7. Click Update. A popup window will appear, asking if you would like to proceed.
  8. A second window will appear, informing you that the allocation amount has been updated.
    • If the effective date is in the future, the window will confirm that the amount will updated in the future.

Adjusting wallet allocation for multiple employees in web browser

  1. Log into your company's Mednefits Business Portal.
  2. Click on the Employee tab.
  3. Click on Bulk Allocation.
  4. On the Bulk Allocation page, enter the new allocation and the effective date of the new allocation for each of your employees.
  5. Click Update to save the changes.
    • Important: If you do not click on Update, any changes you make will not be stored!

Adjusting credit allocation for multiple employees using Excel

  1. Log into your company's Mednefits Business Portal.
  2. Click on the Employee tab.
  3. Click on Bulk Allocation.
  4. Click on the Download icon to download an Excel sheet to perform a bulk update.
  5. Open the Excel sheet and update the New Medical Allocation and Effective Date of New Medical Allocation columns.
    • Make sure the dates are in DD/MM/YYYY format!
    • New Wellness Allocation and Effective Date of New Wellness Allocation columns as well.
  6. Once you are done, save the Excel sheet and return to the HR portal. Click on the Upload icon.
  7. Drag and drop the Excel sheet into the upload box and click on Upload.

Important Notes About Credits and Wallet Allocation

  • Billing: For postpaid accounts, the amount allocated to each employee is a float amount. Your company will only be billed for the amount that your employees use at our in-network health and wellness providers.
